Service desk Data import related data .ini file

Hello,

A question regarding the import of related data into Service desk;

I have two excel files; one of them contains data on employees, the other one organisational data.

The structure of the first file (employees) would be as follows;

Searchcode, Name, surname, phone, UNIT ID (and so on)

and the second one (organisational), list of the units;

Searchcode2 UNIT ID, name of the unit (and so on)

What I'd like to achieve is to import employees and relate them to appropriate unit at the same time. Is that possible.

Considering the fact, key that connects both tables is obviously UNIT ID, how would the extractor .ini file look like ?

Any help on that would be fully appreciated.

Best regards,

Andrej

Forgot to mention; an employee is member of just one unit, one unit can contain many employees.

Re: Service desk Data import related data .ini file

Hi!

You will need 2 import files. The important parts of them should be something like these:

--------------------------------
[CLASSES}
NAMES=org

[org]
ATT=searchcode,u_id,name
COLUMNS=searchcode,u_id,name

--------------------------
and

[CLASSES]
NAMES=employee

[employee]
ATT=searchcode,name,surname,phone,u_id
COLUMNS=searchcode,name,surname,phone,u_id

---------------------------------------
When you will import you org info get the u_id to the SourceID.

When you will import the employee info, define your import mapping for the organization to map to the SourceID of the Organization (of that employee).

Hope to help!

Re: Service desk Data import related data .ini file

It seems I'm missing something, so I'd like to clarify the situation:

- I've exported organisational and employee data as Caitlin suggested.

- First I've imported organizational data and mapped the u_id to sourceID field

- Next, import of employee data, with two item mappings; first one contains mapping data to default person template and second one mapping u_id to default organization template.

I was wondering whether this procedure is correct ?

What I'd like to achieve is to import employee data and automatically relate them to organization, based on their Unit id.

Any further assistance ?

Re: Service desk Data import related data .ini file

Sorry Caitlin, I've been a liitle too fast! I've read your advice again and it is working indeed. :-) Just post a message and I'll assign ju 10 points.

Just one more question; I've related persons to organisation. When I open organization, persons are indeed related to org. But when I open view Organization with persons and click on on one of the org., no persons are listed.

Anyone ?

Re: Service desk Data import related data .ini file

Hi Andrej,

By opening the organization item, in the Persons tab/page you can see the persons related to that organization.
By using Organization with persons (Explorer) view and if you click on one of the organization, you can see the children of that organization in the up right panel, and in the down right panel the persons related to the highlighted child. If the organization highlighted by you in that view hasn't children, it's obvious you will not see the persons. Try with an organization with a hierarchical structure.

Re: Service desk Data import related data .ini file

Anotehr issue:

now I have a third excel file, with configuration items (which I'd like them relate to existing employees already imported.

The key in the file is a login name (which is irrelevant for the CI itself), but is the same as the Name field for the employee.

CI structure:

searchcode, Name, Status, login (and so on)

Employee;

Searchcode, Name, surname, phone, UNIT ID (and so on)
The Name filed of the employee (or better to say, Persons) field is the same as the CI login field.

How do I import and relate CI to persons ?

Re: Service desk Data import related data .ini file

I mapped the login value (named and mapped in Excel and XML file as USER) to the Users:user - Name field, but I get the following error:

warning: com/hp/ifc/wf/AppEntitySet while processing attribute USER

Re: Service desk Data import related data .ini file

Hi,

did you try changing USER to something else like USER123.

Maybe user is a reserved word???

I am just guessing here.

Hope this helps

Re: Service desk Data import related data .ini file

Elias, I did try your suggestion but sadly result is still the same. :(

Persons are already imported into service desk and I'd like to relate them to their configuration item (computer) while importing them.

The key that connect the two data is the AD login name of the person that logins to this computer. This login name is the same as Name field of the person.

I related the AD login name in Import mapping CI template to Users:User - Name, but, as mentioned, I get the error posted above.

Why ?

IS there any other suggestion to import data correctly ?

Re: Service desk Data import related data .ini file

Is this the only message you get? it seems to me as a warning. Does your DE task fail?

Did you check the log file?
If you can't solve it, post it :)

Re: Service desk Data import related data .ini file

Elias, indeed I get following log warning:

Processing Oprema (id = 1)
com/hp/ifc/wf/AppEntitySet

while processing attribute USER123
While processing Oprema (id = 1):
There are no changes to save.

Re: Service desk Data import related data .ini file

CI to Person is a many to many relationship.
You will need to look for the entity that relates person and CI, probable called CIUSERS or something. It will only have two attributes, the User and the CI.
Once you import into this you will see its quite easy once you recognise its many to many and its a third table(entity) you are loading, not trying to reference Person directly from CI

Re: Service desk Data import related data .ini file

Gerry,

I've found CI User mapping.

Indeed it contains fields like User and Configuration Item.

But I cannot map different Configuration item parameteres, only one and only one User field at a time.

That is, I cannot map, for example, searchcode, name,IP,... only one field.

Do I have to import CI's first and then relate them via CI User mapping ?

Re: Service desk Data import related data .ini file

yes, import ci first, then link to person as a second step.
