What is the difference betwwen the closed and frozen timesheets?

Even after a time sheet is approved, a period of time can be allowed for users to
make and submit updates and for approvers to approve the updates. However,
at some point, a designated billing approver can optionally â freezeâ the time
sheet to prohibit further changes and allow reporting of the time sheetâ s
information or extraction of the information for a billing or financial system.
When a time sheet has been frozen for sufficient time (or if it does not need to
be frozen), the billing approver can â closeâ it.

Shortly the process which HP Defines is that you cannot do a billing from a closed Timesheet and they are having an intermediate state called 'Frozen' in this status the timesheets are not editable.

You can closed a freezed timesheet, and closed is the final status.

Hi Mahen ,

let me ask you one more question.
Even if i assign a service manager as a billing approver for the resources in his resource pool,he can't freeze or close any time sheet.In fact he doesn't see any timesheet when press the search button in the freeze/close timesheet screen.He choose past 4 period and all the statuses of the timesheets.He tries it with different options but no data is seen.
What can be the reason for this?

I am not sure what you mean by

"i assign a service manager as a billing approver for the resources in his resource pool"

Have you assigned the billing approver like in the snap I had shown or some other way?

If it is some other way, Kindly send me that snap shot, I will research to get more knowledge.

Hi Mahen,

i did exactly the same as you did.

But the person whose name is in the billing aprover field can't see any timesheets when he wants to freeze/close time sheet from the left menu of the ppm.He presses the search button and sees no timesheet to freeze.

I suspect it is a problem with Access Grants what your Service Manager has.

Check up the any of the security groups which is assigned to your Service Manager has the following access grants shown in the snap.

i check the security group's access grants and i see that these grants are already given.

What can be other alternative reason ?

This person can approve timesheets but can't freeze them.

Are one security group's rights can crash on the other one's rights.This person belongs to more than one security group.

Mahen,

one question comes to my mind.Is there any time that have to be past for the billing approver to freeze approved timesheets?

When he tries to search timesheets only the ones in unsubmitted state are displayed.And he can't freeze them normally,freeze button is disabled.This is normal.Because ony approved timesheets can be frozen.In the combobox ,i choose the approved time sheets and then press the search button.And there is no timesheet.

In fact there are lots of timesheets that he already approved.

Kindly go to one of the associates Timesheet for whom Billing Approver is the Service Manager, And open the 'Approval/Transaction details' and see whose name is appearing near Billing Approver.

See whether the Billing Approver has Time Management Licence. (Just a check)

When you change the Billing Approver as Service Manager Mr X?

What Version of PPM you are in? Kindly ask the End users to Re-Work/Re-Activate their timesheets and submit it.

We had this problem in Mercury 6.0 not in PPM 7.1

Hi Mahen,

good point.i made the definition yesterday.Timesheets are already submitted and approved before.When i check the billing approver from the line details there is no name appear.

We are using ppm 7.5.

In this case,should all the resources resubmit their timesheet?

Test for one resource, Ask that resource to rework and submit again... Let us see how it works
