Updating fields on multiple requests.

Hi,

1) Is there any way to update fields together? Updating similar change on all requests one by one is very time consuming. And since, the change is common it makes more sense to update it once and reflect the change at multiple places.
So, is there any way to do this?

2) I could see one option called 'Batch Update' but it doesnt show up all the fields?

3) Moreover, can we do this for all kinds of fileds (OOTB and custom also)?

1. We can update the fields together by batch Update(Project Type cannot be updated in this way) or by writing Update scripts at backend(works for all).

2. 'Batch Update' will show the fields, Provided if you have the fields in 'Search Results' page.

3. Yes we can have batch update in OOTB and Custom fields.
OOTB Fields - Description, Assigned To

Hi,

Thanks for the information.

However, on our PPM I was not able to see all the fields enabled for changes at once. I could see only for - Description. (Attaching the snap).

If you see the image, there are other fields (Assigned To, Priority, Status) which do not show up any option to change at once.

Do I need to change anything to enable this functionality on these fields? If yes, please let me know where I can do that and how.

Please see whether 'Assigned To', 'Priority' etc are enabled and 'Display' = 'Yes' for this Request Type.

Also see whether 'Display on Search and Filter' = 'Yes'

Hi Mahendran,

I could see Priority, Assigned To options to change at once. But cannot see the same for Created By field :(. I checked the properties you mentioned for
Created By field and they are correct. But still I am not able to get that option.

It is logical that 'Created by' field is not editable.

It should not be editable right?

Same holds good.... You are not moving a request from one step to another.... If you want to change the status of a workflow step then do it in the Workflow.

Not by batch update.

Hi Mahendran,

I could see several customized fields (for our Development Request) that are present while searhing the requests. However, I couldnt see them when I
try to update using 'Batch update' option.

Is there anything that I need to configure to see these (customized) fields while doing batch updates?

Hi Mahendran,

Can we edit different values for same field (on different requests) at a time?

As per our earlier discussion, we can only assign one single value to fields in 'n' number of requests at a time.


Do you think its possible?

You want the value 'Sam Greg' entered into 'Program Manager' for Request ID's

100001

And
You want the value 'Mahendran Muthu' entered into 'Program Manager' for Request ID's

100005
100006
100007
100008

I presume that this is your Requirement.

For first condition you have to give your 'Request Search' parameters such that only
100001
100002
100003
100004 are returned as the 'Search Results'

For second condition you have to give your 'Request Search' parameters such that only
100005
100006
100007
100008 are returned as the 'Search Results'

Thanks Mahendran. Yes, your understanding is correct. Now to elaborate it further -

What if, values are different for all the requests but the field that is being changed is same.

In your example, for all the requests 10001, 10002,..10010 I would like to edit field 'Program Manager' with values Sam, Mahendran, x, Y, Z, A, B...etc at a time?

In Batch Updates this is not possible, You have to choose a set of requests, and in that for a specific Request Field you can change the value.

For your Requirement, I suggest you to go for Database updates.


Update KCRT_REQUEST_DETAILS
set Last_update_date = Sysdate,
Last_updated_by=1
ParameterX = 100001
Visible_parameter ='Mahendran Muthu'
where Request_id in (100002,100004,100008)

etc...

Ok. But udating such information by an enduser cannot be recommended as we will have to give write permissions on to databases.

Anyways, we will consider it as not possible.

Usually here in our Company, PPM Admin will consolidate the data and form a Quest, and Oracle DBA will help us in updating the Query.

We cannot give update access to end users.
