Does anyone know how to make the default financial summary access such that a project manager always has all of the access rights available in the financial summary? The current default seems to be that they only have view/edit costs and we have to add a line for the specific PM and grant them the others.

We found the same.

As soon as out upgrade project is done we intend to log an enhancement request for this.

 

The only access addition that one could give that I see is to add the PM to the Benefit manager field to allow him to view benefits as well.

there was actually an ER logged to implement something else for at that time version 8.01:

SYMPTOM DESCRIPTION in customer terms:


We would like to have a separate access grant to provide rights to users for editing Actuals in the financial Summary.

We interface the financial summary information details with an external system for actuals.  Still we would like the Project Manager to edit the forecast information in the financial summary.
We would not want the Project Manager to edit the Actuals so therefore we would like to disable this option.

RESOLUTION DESCRIPTION in customer terms:

Provide an access grant, or separate access right (not implicitly granted to the project manager), or some other mechanism (perhaps a project type setting), such that actual costs cannot be updated via the GUI, but only via the web-service that populates the actuals from another system.

 

 

I have found that this ER has been closed due to the ER having already been implemented. I found the following in the 9.12 Release Notes that may be of interest as a base:

 

 

"Forecast and Actuals" Changed to "Costs," and "Planned" Changed to "Forecast"

To improve consistency within and among windows for financial summaries, the term "Forecast and Actual(s)" has been changed to "Cost(s)" as follows:

􀁺 In the financial summary, the section formerly titled Forecast and Actual Details has been renamed Cost Details to more clearly distinguish it from the Benefit Details section, which has its own data for forecast and actual benefits. 􀁺

The section now named Cost Details previously displayed either an Edit Forecast and Actuals button or an Add Forecast and Actuals button, and these buttons have been renamed Edit Costs and Add Costs. To improve consistency within and among windows for financial summaries, the term "Planned" has been changed to "Forecast" as follows: 􀁺

The display options (links) formerly labelled Planned Only and Planned and Actuals in the Cost Details and Benefits Details sections of the financial New Features in PPM Center 9.12 31 summary and on the Edit Costs and Edit Benefits pages have been renamed Forecast Only and Forecast and Actuals. 􀁺

In the financial summary and the Edit Costs and Edit Benefits pages, all column headings and totals formerly labelled Planned have been renamed Forecast.

􀁺 In the Edit Costs and Edit Benefits pages, the tip about copying data to multiple cells began "In the Planned Only view..." and now begins with "In the Forecast Only view..." 􀁺 T

he column heading Planned has also been changed to Forecast in the Project Cost Summary portlet and the Program Cost Summary portlet.

 

Based on that, I checked the workbench sec groups on 9.12 and found that there are sec group access grants where you can distinguish between

 

Financial Mgmt Edit Actuals on All Financial Summaries Edit actuals on all financial summaries
Financial Mgmt Edit Actuals on Financial Summary Edit actuals on a financial summary
Financial Mgmt Edit All Financial Benefits Edit benefits on all financial summaries; take and view snapshots
Financial Mgmt Edit Approved Budget Edit approved budgets on a financial summary
Financial Mgmt Edit Approved Budget on All Financial Summaries Edit approved budgets on all Financial summaries
Financial Mgmt Edit Financial Benefits Edit benefits on a financial summary
Financial Mgmt Edit Forecasts on All Financial Summaries Edit forecasts and take and view snapshots on all financial summaries
Financial Mgmt Edit Forecasts on Financial Summary Edit forecasts and take and view snapshots on a financial summary
Financial Mgmt View All Financial Benefits View benefits on all financial summaries

Thanks for the detailed answer, Dirk.

 

The problem is not really with the access grants, which are nicely configurable, but with the access rights.

 

Even when you (for example) have the access grants to edit benefits on financial summaries, you don't necessarily have the access rights to a specific financial summary, even if you are the PM for its project.

 

The default access rights for a PM to the financial summary of his project are only to:

  • View Costs
  • Edit Costs 
  •  Edit Security 

 

The rights to:

  • View Benefits
  • Edit Benefits
  • Edit Approved Budget 
  • Set Plan of Record 

 

Are only available to add manually.

 

So as PM, even if you have the access grants to view and edit benefits you will only be able to do this on your financial summary after adding the rights for yourself to the financial summary security manually.

 

There seems to be no way to configure the default access rights given to the PM, Benefit manager or Cost Participants.

 

You can get past this only by granting the View or Edit All grants, which are not always suitable.

Hi Philipwood,

 

Aggreed.....

 

Here in my client implementation, we are acheving the same by dynamicallying adding the user in the "Configure access" of the financial summary. As we want that the Proposal must be editable to users on some specific phase, rest all pahses it should be non-editable.

So is the bottom line that the check boxes in the Financial Summary security are not configurable at this time?  We would like to change the defaults but from what I am reading in this thread that is not an option.

We have the same situation where we want to change dinamically the access to Financial Summary.

Has anybody got the mentioned oracle function?

Can anyone say what the Oracle function would be for this? 

 

We are in the same situation and would like to dynamically change the FS security, but we are stumped!

Has anyone found anything new on this topic in the last couple of years?

We have the same issue here as well.  We want our project managers to be able to update the budget and set a new plan of record by default, without having to manually go into the Financial Summary settings to give themselves access for each of their projects. 

Our project managers already have the security previleges necessariy, it is just the Financial Summary Confiugre Access does not appear to use those settings when displaying the default settings (which only allow view/edit costs and edit security).
