Adding a group to email

Hi,

Curretnly, for any chenge in a request a notification mail is sent to the defined group/users.

For this request, I would like to add one more
group/user alias to whom mail should be sent.

How and where do I find the location to add?

I am sure its under the required workflow from workbench, but dunno where exactly.

Thanks in advance

Regards,
Sam

All additions info look in Demand management CG.

Re: Adding a group to email

Thanks.

Sorry my mistake. I should have mentioned clearly.

I am basically looking for notifications when the "Save" button is clicked form web interface of PPM.

At present notification mail is being sent only when the development request is moved from one stage to another. For e.g: when a user clicks an action button (Re-work or complete or cancel) and request moves to next stage then notification is sent.

I need to find how we can enable similar notifications when user just adds some notes or message and clicks "Save" button.

Thanks

Re: Adding a group to email

Sam,

There is a 'Notifications' tab on the request type in the workbench where you can set up e-mails based on field changes. However, the choice of fields which can trigger a message are pretty limited at this time, and I'm not sure that Notes is one of them.

Re: Adding a group to email

Hi Sam.
I have any idea but for 7.5:
Need use advanced rule for example "before apdate". In this rule need change any fied.
Next you need set notification on change this field in workbensh in request type on tab "notification". In this tab allow only 10 fields.
May be it's help you.

Re: Adding a group to email

By entering a note will not trigger a mail.

The field change notification can be triggered for the following fields.

Department
Company
Driving Process
Request Group
Sub-Type
Contact Name
Assigned To
Assigned Groupd
Priority
Application

Re: Adding a group to email

Hi Mahendra,

Do you mean, in a (dev)request if I change 'Assigned To' field and then click 'Save' should trigger notification email?

If yes, you trapped exact issue and that is what am facing problem with. And currently this functionality is not working -somehow.

So what should be my next steps in digging it?

Re: Adding a group to email

Hi Sam,

If you want to trigger Notification only for these 10 Header fields you can do that by doing notification configuration in your request type's 'Notifications' tab.

You can add notification there by mentioning on which fields change you want to notify. As well as you can also mention if you want to notify for any specific value on that fields or any value as well as for no value.

you can choose interval values as per you requirement.

You can also notify on request submission as well.

Hopre this will help you.

Re: Adding a group to email

Hi Jyotir,

Yes, that helped. And now its sending notification mail on every change of field value.

However now, there is new issue - not sure whether its an existing bug in PPM 7.1 SP8 or not.
Issue is - whenever the notification is sent (due to trigger on changed field), I am not receiving the correct (recently added one)note/description/message that I added.

Is this a existing bug?

Thanks

Re: Adding a group to email

Cool...

It should not be the case.If you are using right tokens then it should give you the last updated data.

Please check you are using right token and verify unsing same field.

Hope this will help you.

Re: Adding a group to email

Thanks Jotir.

The tokens used are -
Description:[REQ.DESCRIPTION]
Note: [REQ.MOST_RECENT_NOTE_TEXT]

What are these tokens - REQ.DESCRIPTION, REQ.MOST_RECENT_NOTE_TEXT?

Where I can find them? and how can I modify them? If I need to add new one say REQ.TEST, how shall I go about it?

Thanks

Sam

Re: Adding a group to email

Hi Sam,

perhaps you are looking for these tokens:
[NOTIF.CHANGED_FIELD]
[NOTIF.OLD_VALUE]
[NOTIF.NEW_VALUE]

Until now I haven't used them by myself. Just give it a try and look if it matches your needs.

Kind Regards,
