Why do multiple folder references appear in offline records folder?

Hi

 

We quite often notice multiple folder references with the same names created in the windows directory where offline records are stored. In our case personal network space.

the folders have the same name but with (1) (2) etc at the end of the folder name.

 

We suspect this may also cause issues where the user has a document checked out to their offline records but TRIM says it can't find the document to check-in. The document can be checked back in but the users needs to browse to the exact folder. Also when viewing the offline records through TRIM there is no folders shown at all.

 

What is causing these multiple folder references and what can we do to stop it.

I have seen this behaviour before.

Do you have automatic cleanup of folders ticked on?

 

Tools > Options > Integration tab > bottom tick box 'When a container from offline Records becomes empty, automatically delete it'

Hmmmm, I thought that option worked pretty well now keeping all those container folders cleaned up...

 

Really, if that option was working (or on, check that it's not off), you shouldn't be having these issues.

This may not apply to your situation but I found when we upgraded from 6.1 to 7.1 we had to delete the old offline records folder and let TRIM create a new one in order for the automatic cleanup of folders to work.

Hi Grundy,

 

We are using 6.2.4.1240 and although we have the check box ticked to 'Remove folders automatically once they become empty' there are often folders at the top of the Offline list (without the + sign indicating contents)... 

 

Pressing F5 (refresh) does clear them though.

The users does have cleanup folders turned on because when I tested edit functionality again I saw folder reference created and then automatically deleted when the document was checked back in.

Sounds like it needs some more investigation....  :S

 

There's no recent CRs on this, so a support case and any details on what is creating the folders would be good.

e.g. Is it always when editing with Word, always with large folder names? etc..

I can open a support case.

 

Because the user didn't have access to the folder the documents were in, it was written as access denied (1) (2) (3) etc.

 

While we are on this matter of folder references, why is the folder reference written as free text and then structured part. It make it hard to understand which folder reference is which.

No idea on the naming convention, maybe that's the easiest way to refer to it in the code.
